Creating Your Account, Choosing a Region & Signing In

Account Manager is where you manage your DashboardFox account outside of your workspace — your agency, workspaces, subscription, billing, and personal security settings. This article covers creating an account, choosing where your data is hosted, and every way to sign in.

Most day-to-day features are embedded directly in your DashboardFox workspace, so you may only need Account Manager occasionally — for billing changes, adding workspaces, or managing your team.


Choosing Your Data Region

Before you create an account, you choose where your data is hosted. DashboardFox operates two independent regions:

  • United States — hosted in US data centres

  • European Union — hosted in EU data centres

All regions include encryption at rest, data isolation, and enterprise-grade security. The difference is physical location and legal jurisdiction, not capability.

Warning: Your region cannot be changed after your account is created. The two regions are completely separate systems — accounts, workspaces, and data do not transfer between them. If you choose the wrong region, you will need to create a new account in the correct one and start again.

Which Region Should I Choose?

Choose the European Union if:

  • You are subject to GDPR and your data must remain within the EU

  • Your organisation has a data residency policy requiring EU hosting

  • Your customers or regulators require EU-hosted data

Choose the United States if:

  • You have no specific data residency requirement

  • Your users and data sources are primarily US-based

Note: If GDPR compliance matters to your organisation, the EU region is mandatory. Choosing the US region and later discovering you need EU hosting means starting over with a new account.

If you are unsure, check with whoever is responsible for data protection or compliance at your organisation before you begin.


Creating Your Account

Start your trial from the DashboardFox website. You will first be asked "Where should we host your data?" — select United States or European Union. This takes you to the registration page for that region.

Registration has three steps.

Step 1 — Your Details

  1. Enter your full name.

  2. Enter your email address. This becomes your login and where account notifications are sent.

  3. Choose a password. See Password Requirements below.

  4. Re-enter your password to confirm it.

  5. Accept the Terms of Service.

  6. Click Next.

Note: Disposable and temporary email addresses are not accepted. If you see "Please use a valid business or personal email address", use a permanent work or personal address instead.

Step 2 — Your Company and Workspace

  1. Enter your company name.

  2. Enter a workspace name — a friendly label for your DashboardFox workspace.

  3. Choose your workspace URL. This becomes the web address where you and your users access DashboardFox, for example yourcompany.dashboardfox.app.

  4. Click Next.

Workspace URL rules:

  • At least 4 characters

  • Lowercase letters, numbers, and hyphens only

  • Must start with a letter

  • Cannot end with a hyphen or contain two hyphens in a row

  • Must not already be taken

Availability is checked as you type. A tick means the URL is available; an error message explains why if it is not.

Tip: Choose your workspace URL carefully. Your users will type it, see it, and bookmark it.

Step 3 — Choose Your Plan

  1. Select the plan that fits your needs.

  2. Complete the bot verification check.

  3. Click Create Account.

Your workspace begins provisioning immediately. This takes a few minutes — you will see live progress as your instance is created, configured, and secured.

Note: Registration is limited to 3 attempts per hour from the same network. If you see "Too many registration attempts", wait an hour before trying again. This protects against automated signups.


Password Requirements

Your password must be at least 12 characters long.

There are no requirements for uppercase letters, numbers, or symbols. Length matters far more than complexity — a long passphrase is both easier to remember and harder to crack than a short password full of substitutions.

Your password is also checked against:

  • Known data breaches. Passwords that have appeared in public breach databases are rejected, even if they meet the length requirement. This protects you from credential-stuffing attacks, where attackers try passwords leaked from other services.

  • Your own details. Your password cannot contain your name, email address, or company name.

Tip: Four or five random words make an excellent password — for example, harbor-lantern-quiet-mineral. It is 28 characters, easy to recall, and extremely difficult to guess.

You can type any characters you like, including spaces and accented or non-Latin characters. Pasting from a password manager is fully supported.

Why No Uppercase or Number Requirement?

Requiring a capital letter and a number tends to produce predictable results — people capitalise the first letter and add "1" or "!" at the end. Attackers know this. Current guidance from NIST, the US standards body, recommends dropping those rules in favour of longer passwords and checking against known breached passwords. We follow that guidance.

Why Was My Password Rejected?

Finding Your Account Manager URL

Your Account Manager address depends on your region and your account type:

Your agency's own domain, for example portal.youragency.com

Note: If your agency has configured white-label branding, your Account Manager will be on their domain and carry their branding. Your agency administrator can tell you the correct address.

Your workspace address is different from your Account Manager address. Your workspace is where you build and view dashboards — typically yourcompany.dashboardfox.app. If you have forgotten it, go to the sign-in page on the DashboardFox website and use Forgot your workspace URL?, which will direct you to Account Manager for your region where all of your workspaces are listed.


Signing In With a Password

  1. Go to your Account Manager address.

  2. Enter your email address.

  3. Enter your password.

  4. Click Sign In.

If two-factor authentication is enabled on your account, you will be prompted for a verification code after your password is accepted. See Logging In With 2FA in the Profile & Security article.

Note: Accounts are temporarily locked after repeated failed sign-in attempts. If you are locked out, the message will tell you how many minutes remain. Wait for the lock to expire, or reset your password to regain access immediately.


Signing In With a Magic Link

If you would rather not type a password, you can have a one-time sign-in link emailed to you.

  1. Go to your Account Manager address.

  2. Enter your email address. The magic link option appears once a valid email is entered.

  3. Choose the magic link option instead of entering a password.

  4. Check your inbox and click the link.

You will be signed in automatically.

Note: Magic links expire shortly after being sent and can only be used once. If your link has expired, simply request a new one. For security, the confirmation message is the same whether or not an account exists for that address.

Magic links are useful when you are signing in from a device where your password manager is unavailable, or when you use Account Manager rarely enough that you do not remember your password.


Resetting a Forgotten Password

  1. On the sign-in page, click Forgot Password.

  2. Enter your email address and submit.

  3. Check your inbox for a password reset email.

  4. Click the link in the email.

  5. Enter and confirm your new password, then submit.

You can now sign in with your new password.

Note: Reset links are valid for 1 hour and can only be used once. If your link has expired, request a new one from the sign-in page.

Note: Password reset requests are limited to 3 per hour per address. If you request several and none arrive, check your spam folder before requesting more.

If two-factor authentication is enabled on your account, you will be asked for a verification code as part of the reset — resetting your password does not bypass 2FA.

Tip: If you know your current password and simply want to change it, you do not need this flow. Sign in and use Changing Your Password in your profile instead.

Warning: Make sure you are on the correct region. A reset request sent to the US region for an EU account will appear to succeed but no email will arrive, because the account does not exist in that region.


Troubleshooting Sign-In Problems

"Invalid email or password" but you are certain the password is right. The most common cause is being in the wrong region. An account created in the US region does not exist in the EU region and vice versa. Check whether you should be at my.dashboardfox.app or my-eu.dashboardfox.app.

No password reset or magic link email arrives. Check your spam folder first. If nothing arrives, confirm you are using the correct region and that you are entering the exact email address you registered with.

"Too many registration attempts." Registration is limited to 3 per hour from the same network. If several colleagues are signing up from the same office, they may hit this shared limit. Wait an hour.

"Please use a valid business or personal email address." Disposable and temporary email services are blocked at registration. Use a permanent address.

You cannot remember which region you signed up in. Try signing in at both addresses with the same email. Only the correct region will recognise your account. See Finding Your Account Manager URL.

You have lost access to your two-factor authentication method. Use one of your backup codes, or request account recovery from the sign-in page. See Account Recovery in the Profile & Security article for the full process.


Security Tips

Use a password manager. It lets you use a long, unique password without needing to remember it, and pasting into DashboardFox is fully supported.

Choose a passphrase over a complex short password. Four random words beat eight characters of symbols, both for security and for your own sanity.

Never reuse a password across services. Breach screening protects you from passwords already exposed elsewhere, but it cannot protect you from a service that has not been breached yet.

Enable two-factor authentication. It protects your account even if your password is compromised. See Setting Up 2FA in the Profile & Security article.

Protect your email account. Password resets and magic links both arrive by email — anyone with access to your inbox can access your DashboardFox account.

Confirm your region before you commit. It cannot be changed later, and getting it wrong means starting over. See Choosing Your Data Region.
