Managing Your Subscription

You can view and manage your DashboardFox subscription directly from within the application without leaving DashboardFox. This article covers the Subscriptions tab available in the in-app Billing section.

To access it, click Billing in the right-hand sidebar, then select the Subscriptions tab.

Note: The Billing section is only visible to admins with the Billing Admin role. If you do not see it in the sidebar, contact your DashboardFox administrator to have your access level updated.


Plan & Usage Tab

When you open the Subscriptions tab, you land on the Plan & Usage tab. This is an overview of your current subscription, what is included in your plan, and the billing account associated with your workspace.

Status Banners

Depending on your subscription status, a banner may appear at the top of the tab prompting you to take action:

  • If you are on a trial, the banner shows how many days remain and offers a Subscribe Now button if you have a payment method on file. If you do not have a payment method, it will prompt you to add one in the Billing Account tab before you can subscribe.

  • If your trial has expired, the banner offers a Subscribe button to restore access. If you are still eligible, an option to extend the trial by 7 days may also appear.

  • If the workspace was transferred to you, a transfer trial banner will show how many days you have to set up billing and subscribe.

  • If your subscription is cancelled, the banner shows when access ends and offers a Reactivate button if a prior subscription exists, or a Subscribe button if starting fresh.

Current Plan

Below any status banners, your current plan name, price, billing cycle, and renewal or expiry date are displayed. If your plan includes any active discount coupons, they appear here as well.

The button next to your plan name lets you take the primary action available for your account — Subscribe Now during a trial, Change Plan on an active subscription, or Upgrade to Paid if you are on a lifetime deal.

License Allocations

This section shows the quantities included in your current plan across key categories: Named Users, Public View Users, API Endpoints, Scheduled Jobs, Custom Domains, Branding Policies, and ODBC Drivers (Tier 1). These values reflect the effective license on your workspace, including any add-ons you have purchased.

Included Features

A grid of all available platform features shows which ones are enabled on your current plan. Enabled features are highlighted with a green checkmark; features not included in your plan are dimmed.

Active Add-ons

If your subscription includes any add-ons, they are listed here in a table showing the add-on name, quantity, and price per billing cycle.

Billing Account

This section shows which billing account is assigned to your workspace and whether a payment method is on file. This is read-only — to update your billing profile or add a payment method, go to Billing → Billing Account.

Tip: If no payment method is on file, you will not be able to complete checkout. Add one in the Billing Account tab first.

Cancelling Your Subscription

If your subscription is active, past due, or in a trial period, a Cancel Subscription or Cancel Trial link appears at the bottom of the Plan & Usage tab. Cancellation takes effect at the end of your current billing period — you retain full access until then. An option to cancel immediately may also be presented during the cancellation flow.


Change Plan Tab

The Change Plan tab is where you select a new plan, set your billing frequency, and configure any add-ons. Click the tab to open it, or use the primary action button on the Plan & Usage tab.

Access Code

If you have a special access code for an unlocked plan, click Have an access code? at the top of the tab. Enter your code and click Apply. If the code is valid, the unlocked plan is added to the plan selection and pre-selected automatically.

Billing Cycle

Use the Monthly / Annual toggle at the top to switch between billing frequencies. The Annual option displays a savings badge showing the percentage you save compared to monthly billing. Each plan card updates to reflect the selected billing frequency.

Selecting a Plan

Available plans are displayed as cards. Each card shows the plan name, the monthly price equivalent, and the number of Named Users and Public View Users included. Click any card to select it. Your currently active plan is marked with a Current badge. If you applied a valid access code, the unlocked plan appears with an Unlocked badge and is pre-selected.

Below the plan cards, a feature comparison accordion lets you expand a full breakdown of what each plan includes so you can compare them side by side before deciding.

Add-ons

Click Add-ons below the plan cards to expand the add-on panel for your selected plan. Add-ons are grouped into two categories:

  • Additional Capacity — quantities of Named Users or Public View Users you can add on top of your base plan. Use the + and − buttons to set the quantity you need.

  • Features — optional feature unlocks billed as a flat monthly or annual fee. Toggle them on or off with the Add / Added button.

Add-on pricing updates automatically in the Order Summary as you make changes.

Order Summary

At the bottom of the Change Plan tab, the Order Summary shows a live breakdown of your selected plan and any add-ons, along with any discounts that apply. The total shown reflects the recurring charge per billing cycle. If you selected annual billing and are saving compared to monthly, a savings callout is shown.

Continuing to Checkout

Once you have selected a plan and billing cycle, click Continue to Checkout (shown as Review Changes if you have an existing paid subscription) to proceed to the final review step.


Checkout

The checkout screen appears after clicking Continue to Checkout. It is the final step before your subscription is activated or changed.

Your New Plan

At the top, your selected plan, billing cycle, and recurring price are displayed so you can confirm your selection before proceeding.

Charges Today

This section shows a line-item breakdown of what will be charged immediately, including:

  • The full first period charge if you are converting from a trial

  • Prorated amounts for mid-cycle plan changes on existing subscriptions

  • Any credits applied from your account balance

  • Any discounts

The Due Today total is shown at the bottom of this section.

Going Forward

This section shows what your subscription will cost on each future billing cycle, starting from your next renewal date.

Promo Code

Enter a promo code and click Apply to validate it. If valid, the discount is reflected in both the Charges Today and Going Forward sections. An invalid code will show an error message.

Payment Method

Your payment method on file is displayed here. If no payment method exists, a warning appears directing you to add one in the Billing Account tab before you can confirm. You must have a payment method on file to complete checkout.

Subscription Agreement

Before confirming, check the agreement checkbox to acknowledge that your payment method will be charged today and that the subscription will automatically renew at the recurring rate until cancelled.

Confirming the Subscription

Click Confirm and Pay $X.XX to process the subscription. The button remains disabled until a payment method is on file, the estimate has loaded, and the agreement checkbox is checked.

Once confirmed, a success screen appears with your new plan name and billing amount. Click Back to Subscription to return to the Plan & Usage tab, which will reflect your updated subscription.


Reactivating a Cancelled Subscription

If your subscription was previously active and has since been cancelled, the Plan & Usage tab will show a Reactivate button. Clicking it opens a confirmation dialog. If the prior subscription can be restored directly, it will be reactivated immediately. If it can no longer be reactivated through the original subscription record, you will be taken to the Change Plan tab to select a plan and go through checkout again.
