Team Management

The Agency section of the DashboardFox Customer Management Portal lets you invite team members, assign roles, and control who can access your agency's workspaces and settings. This article covers everything you need to know about managing your team.

To access team management, navigate to Agency → Team in the main sidebar.


Roles Overview

Every member of your agency is assigned one of three roles. Roles determine what a member can see and do across the portal.

Owner

The owner has full access to everything in the agency — workspaces, billing, white label settings, webhooks, team management, and audit logs. There is exactly one owner per agency at any time. Ownership can be transferred to another member but not shared.

Member

Members can access all agency workspaces, create and manage workspaces, and use white label and webhook settings. Members do not have access to billing or agency configuration. This role is suited to technical staff who manage workspaces on behalf of the agency.

Billing Admin

Billing admins have read-only access to the Billing page and can view all agency workspaces (read-only). They cannot create workspaces, access white label or webhook settings, or manage the team. This role is suited to finance staff who need visibility into invoices and payment details.


Inviting a Team Member

Only owners can invite new members.

  1. Navigate to Agency → Team.

  2. In the Invite Member section, enter the email address of the person you want to invite.

  3. Select a role: Member or Billing Admin.

  4. Click Send Invitation.

If the person already has a DashboardFox account, they will be added to your agency immediately and will receive an email notification. They can switch to your agency from the agency switcher in their sidebar.

If the person does not yet have an account, they will receive an invitation email with a link to create their account and join your agency. Invitation links expire after 7 days.

Note: You cannot invite someone who is already a member of your agency.


Changing a Member's Role

  1. Navigate to Agency → Team.

  2. In the Team Members table, find the member whose role you want to change.

  3. Use the role dropdown in their row to select the new role.

Role changes take effect immediately on the member's next page load or agency refresh.

Note: You cannot change the owner's role using this method. To make another member the owner, use Transfer Ownership instead.


Removing a Member

  1. Navigate to Agency → Team.

  2. Find the member you want to remove.

  3. Click the Remove button in their row.

  4. Confirm when prompted.

The member will immediately lose access to the agency and all its workspaces. Their account is not deleted — they simply no longer belong to your agency.

Note: You cannot remove yourself if you are the owner. To leave the agency, first transfer ownership to another member.


Transferring Ownership

Ownership transfer permanently makes another member the owner of the agency. Your role changes to Member after the transfer.

  1. Navigate to Agency → Team.

  2. Click Transfer Ownership in the Team Members section header.

  3. Select the member you want to transfer ownership to from the dropdown.

  4. Review the confirmation warning and click Transfer Ownership.

The change takes effect immediately. The new owner gains full access to all agency settings including billing and audit logs. You retain access as a member.

Note: This action cannot be undone without the new owner transferring ownership back to you. Make sure you are transferring to the right person before confirming.


Multi-Agency Access

A single DashboardFox account can belong to more than one agency — for example, if you own your own agency and have been added as a member of a client's agency.

Selecting an Agency at Login

If your account belongs to multiple agencies and you have not previously selected a preferred agency, you will be taken to an agency selection screen after logging in. Click the agency you want to enter.

Your selection is remembered for future logins. You will only see the selection screen again if you clear your browser data or your saved preference is no longer valid.

Switching Agencies

Once logged in, you can switch agencies without logging out using the agency switcher at the bottom of the sidebar.

  1. Click the agency switcher (shows your current agency name next to a building icon).

  2. A list of your agencies appears. Your active agency is highlighted with a checkmark.

  3. Click another agency to switch to it.

Switching agencies resets your workspace list, billing context, and role to reflect the newly selected agency. The switch is remembered for future logins.

Frequently Asked Questions

Can a member create workspaces using the agency's billing account? Yes. When creating a workspace, members can select any billing profile that belongs to the agency. They do not need to have their own billing profile.

What happens to workspaces if a member leaves or is removed? Workspaces belong to the agency, not to individual users. Removing a member has no effect on the workspaces they created — all workspaces remain accessible to the agency owner and other members.

Can I have more than one owner? No. There is exactly one owner per agency at any time. If you want to give another member owner-level access, you must transfer ownership to them, at which point your own role becomes Member.

What happens if the owner deletes their account? Before deleting their account, the owner must either transfer ownership to another member or remove all other members from the agency. See Your Profile, Security & Account Management for more detail on the account deletion prerequisites.

Can a Billing Admin see workspace configuration details? Billing admins can see workspaces in their list but cannot open workspace settings, credentials, domains, or technical configuration. Their access is limited to the Billing page and workspace status visibility.
