Managing Multiple Agencies & Creating Your Own

Your DashboardFox account is tied to a single email address, but that one account can belong to multiple agencies at the same time. This article explains how agency membership works, how to navigate between agencies, and how to create your own agency if you have been invited to someone else's first.


How Agency Membership Works

When someone invites you to their agency, a membership is created between your account and that agency. You do not get a separate login — the same email address and password you already use gives you access to every agency you belong to.

Each membership has a role that determines what you can see and do within that agency:

  • Owner — full control over the agency, its workspaces, billing, and team members

  • Billing Admin — access to billing and workspaces, but not agency settings or team management

  • Member — access to workspaces only

You can belong to any number of agencies as a member, billing admin, or owner — but you can only own one agency per email address. See One Owner Per Email below for details.


The Agency Switcher

The agency switcher appears in the bottom-left corner of the sidebar. It shows the name of your currently active agency and lets you switch to any other agency you belong to.

When you switch agencies, the entire portal context changes — the workspaces, billing, team members, and settings you see all belong to the newly selected agency. Your personal profile and security settings remain the same regardless of which agency is active.

When the Switcher Appears

The agency switcher is visible whenever you are logged in. If you belong to only one agency, it still appears and gives you the option to create a new agency (see Creating Your Own Agency below).


Switching Between Agencies

  1. Click the agency switcher in the bottom-left corner of the sidebar. The current agency name is shown with a icon.

  2. A dropdown lists all agencies you belong to. The currently active agency is highlighted with a checkmark.

  3. Click any agency in the list to switch to it.

You will be taken to the Workspaces dashboard for the selected agency immediately. No re-login is required.

Note: Switching agencies does not affect your personal profile, password, or 2FA settings. Those are account-level and shared across all your agency memberships.


Creating Your Own Agency

If you have been invited to DashboardFox as a member of someone else's agency, you may want to set up your own agency — for example, to manage your own workspaces or run your own client accounts independently.

You can do this directly from the management portal without registering a new account.

  1. Click the agency switcher in the bottom-left corner of the sidebar.

  2. At the bottom of the dropdown, click Create New Agency.

  3. Enter your agency name and click Create Agency.

Your new agency is created immediately and the portal switches to it. You will be the owner of the new agency. You can then create workspaces, invite team members, and configure billing from within the new agency context.

Note: The Create New Agency option is only shown if you do not already own an agency. If you are already an owner, you will not see this option. See One Owner Per Email below.


One Owner Per Email

Each email address can only own one agency. This is by design — agency ownership is tied to your account identity and carries billing and legal responsibilities that cannot be split across multiple owned agencies.

This means:

  • If you already own an agency, you cannot create a second one under the same email address.

  • If you need to manage multiple independent agency accounts, each one requires a separate email address and login.

  • Being a member or billing admin in other agencies is not affected by this rule — you can belong to as many agencies as you like in those roles.

Example: You own your own agency at you@yourcompany.com. A client invites you to their agency as a billing admin. You now belong to two agencies — yours as owner, theirs as billing admin — all under the same login. This is fully supported.

Example: You are a member of a colleague's agency but do not own one yourself. You decide to start your own. You use the Create New Agency option in the sidebar switcher and become the owner of the new agency, while remaining a member of your colleague's agency.


What Changes When You Switch Agencies

When you switch to a different agency, the following all update to reflect the new agency context:

  • Workspaces — you see only the workspaces belonging to the selected agency

  • Billing — subscription, payment methods, and billing history for the selected agency

  • Team Members — the members of the selected agency and their roles

  • Agency Settings — branding, domain configuration, and other agency-level settings

  • Audit Logs — events scoped to the selected agency

The following do not change when you switch agencies:

  • Your name, email address, and profile settings

  • Your password

  • Your two-factor authentication setup

  • Your trusted devices


Leaving an Agency

If you are a member or billing admin of an agency and no longer need access, you can leave at any time.

  1. Switch to the agency you want to leave using the agency switcher.

  2. Navigate to Agency in the main navigation.

  3. In the Team Members table, find your own row (marked You).

  4. Click Leave Agency and confirm when prompted.

You will immediately lose access to that agency and all of its workspaces. The agency switcher will no longer show it.

Note: If the agency you are leaving is the only one you belong to, leaving will leave you with no active agency. If you want to continue using DashboardFox, create a new agency before leaving, or ask to be invited to another one.

Owners Cannot Leave Directly

If you are the agency owner you must resolve ownership before leaving. See the Leaving an Agency section of the Profile & Security article for full details.


Deleting Your Account When You Belong to Multiple Agencies

If your account belongs to multiple agencies, the account deletion flow handles them automatically:

  • Any agency where you are a non-owner member — you will be removed from it automatically as part of the deletion process.

  • Any agency where you are the owner — you must resolve ownership before deleting. Either transfer ownership to another member, or remove all other members so you are the sole member remaining (the agency will be closed along with your account).
